Auto attendants allow individuals to contact your organization and use a menu system to connect with the appropriate department, call queue, individual, or operator. You have the option to create these auto attendants for your organization using either the Microsoft Teams admin center or Ooma Enterprise Admin portal.

 

To set up an auto attendant, go to Microsoft Teams admin center. Locate and select the "Voice" option in the left-hand menu of the page to expand it.


Once the content is displayed, choose the "Auto attendant" option.


After that, you will be taken to the "Auto attendants" page, which displays the table of existing auto attendants


When you are in the process of either creating a new auto attendant by pressing the "+Add" button or modifying an existing one by pressing the "Edit" button, you will come across an additional tab called "Advanced settings." Within this tab, there are five subtabs, which will be explained in detail below.

Dial Scope Subtab

Within this section, you have the ability to configure the individuals or groups that will be displayed and accessible within your company's directory when a caller initiates contact with this auto attendant. When callers use the Dial by name to search for a person, they will be directed to a user who has the Teams app installed.

The dial scope defines which users are available in the directory when a caller uses dial-by-name or dial-by-extension. The default of All online users includes all users in your organization that are Online users or hosted on-premises using Skype for Business Server. 
You can include or exclude specific users by selecting Custom user group under Include or Exclude and choosing one or more Microsoft 365 groups, distribution lists, or security groups. For example, you might want to exclude executives in your organization from the dialing directory.


Two parameters need to be configured here:


  • Include: here you can choose the users who will be added and accessible within your company's directory.
    • All online users: by selecting this option, you will include users whose with online accounts and users that have been synced with Azure AD. 
    • Custom user group: upon selecting this option, a new field will appear allowing you to find and include security, distribution, and Microsoft 365 groups.


  • Exclude: here you can select which users or groups will be excluded from the organization's directory.
    • No one: if you choose this option, which is the default, then none of the users in your organization will be left out of the directory if a caller searches for their name.
    • Custom user group: by selecting this option, you can set up security, distribution, and Microsoft 365 groups that can be excluded.
